Legal Operations Manager

Position Overview

This position is a non-lawyer administrative manager position that supports the Legal Department by managing legal operations including contract administration, law firms, other legal vendors, department information technology, IP administration, entity management, engagement, and reporting and process improvements. Department workload may be split between multiple incumbents

Key Responsibilities

Contract Administration: Assist in the development and implementation of systems and processes for contract administration. Under the supervision of counsel, may conduct preliminary review of contracts, maintains department tracking of contracts, as well as electronic and paper organization and storage of contracts (and other files) so that they are readily retrievable. Administer the Contract Review Policy for the Department. Provide ongoing support for the development of appropriate contract templates.

Document Management Systems: Support implementation of any document management systems for the department and act as system administrator, including contract management systems.

Department Information Technology: Manage planning and ongoing system administration to ensure departmental use of appropriate and current technology for efficient and effective operations; manage relationships with internal and external providers of legal and compliance technology services and oversee negotiation, procurement and implementation of software and hardware.

Administrative support of compliance programs, policies, and training under the direction of the VP Compliance and Chief Compliance Officer.

Law Firm and Vendor Relationship Management: manage the operational aspects of relationships with outside counsel and other legal services suppliers; assist in the negotiation and coordinate the enforcement of engagement agreement terms with law firms; and collect market data/information relevant to supplier selection and rationalization. Oversee legal department s systems for submission and review and other service provider invoices, including submission of litigation and M&A matter budgets.

Intellectual Property: Assists the VP of IP, in the administration attendant to the development and management of systems for the company s intellectual property portfolio.

Entity management: Manage registered agent and corporate filings regarding business qualification.

Engagement: Manage department engagement programs and activities.

Process Improvement: analyze existing processes for law and compliance matter management, including allocation of matters to internal and external resources and tracking and follow-up throughout matter life cycle, and work with departmental personnel to develop process improvements that promote cost reductions and other efficiencies.

Attorney qualification monitoring: create and maintains appropriate systems and records to ensure timely compliance with local CLE and annual registration requirements in licensed jurisdictions.

Financial: assist with preparation and monitoring of departmental budgets and department financial reporting;

Metrics and Analytics: further develop and oversee contract review KPIs and other appropriate KPIs are collected in an accurate manner and made available for use in a timely fashion.

General Operations and Administration: liaise within department and with other functional groups to address departmental needs in a timely basis.

Requirements

* Bachelor s with strong academic performance from an accredited institution.

* Minimum of three years of relevant corporate experience.
