Position Summary:

The Legal Operations Specialist is responsible for supporting assigned Legal Department leaders in handling many of the operational and administrative tasks associated with managing a Legal Department, including timely and accurately processing legal invoices according to Company policies and procedures and handling certain administrative functions related to the Legal Department s electronic billing system.

Principal Responsibilities:

Assists with keeping Outside Counsel Guidelines current.

Ensures compliance with billing policies and procedures.

Reviews all invoices processed through Serengeti Tracker according to billing review protocol.

Ensures accuracy of approved timekeeper billing rates and communicates with law firms regarding unapproved timekeepers.

Works with law firm representatives to troubleshoot invoice billing issues and coordinates with department staff to resolve invoice deficiencies.

Responds to inquiries from law firms relating to invoice payment questions.

Performs invoice extracts from Serengeti Tracker to Accounts Payable and resolves issues relating to deactivated vendors and extracted invoices.

Assists with setting up new law firms and legal vendors in Serengeti Tracker and in ePro.

Processes checks received in the department by completing the appropriate forms and delivering checks to Accounts Receivable for deposit.

Assists with monthly accrual processing.

Prepares engagement letters and emails for all new matters.

Assists with annual budget process.

Prepares agenda(s) and schedules meetings, Web-Ex and other functional calls for assigned department.

Records, compiles and assists with tracking and updating status action items discussed during meetings.

Compiles, maintains and distributes standard reports, dashboards, including Blue Chip reports, Attachment A, as well as statistical reports or data compilations

Composes and prepares routine correspondence and presentations using computer software applications.

Assist in the development, implementation, and maintenance of Legal Department business processes.

Performs other job related duties as assigned or apparent.

High School Diploma or G.E.D. (required).

Minimum of 3 years of experience in an office environment (required).

Associate s degree in Accounting or Finance or similar field of study.
